Your data

Your building’s records belong to your company. Here is where they are kept and what happens to them.

Where it is hosted

Your records are held in a managed database with a hosting provider, and the website runs on a separate hosting provider. Each building’s records are kept apart from every other building’s. Your directors can see them, and each leaseholder sees their own account and the documents they are entitled to.

Who else handles it

We use a small number of other companies to run the service: database and website hosting, email delivery, and the AI service behind the assistant. Each handles data only on our instructions.

Some of these companies may process data outside the UK. [Safeguards and countries to confirm.] The privacy notice will give the final list and say what each one does.

How the assistant uses your data

The assistant answers from your lease and your building’s records, and only for people allowed to see them. Your data is not used to train AI models, ours or anyone else’s.

Taking it with you

A director can export the whole building at any time, free of charge. You get one ZIP file: the ledger, correspondence, documents and decisions as CSV files that open in any spreadsheet, with the attachments and an index.

When you leave

Export what you need first. When you tell us you are leaving, we delete your building’s records, except anything the law requires us to keep. [Deletion timescale and what we must keep, to confirm.] The privacy notice will say what that is and for how long.
